GYNECOLOGIC CANCER INTERGROUP (GCIG)
STATUTES
1. Definition
The Gynaecologic Cancer Intergroup (GCIG) is an organization consisting of appointed representatives from international and national research groups performing clinical trials in gynaecological cancer.
2. Aims:
- Promote international collaboration.
- Promote clinical research.
- Perform studies in females with rare tumors.
- Stimulate evidence-based medicine by performing high quality
clinical trials.
- Support educational activities mainly by disseminating results of
GCIG trials.
3. Membership:
- Any international or national research group performing clinical
trials in gynaecological cancer may become a member group of the
GCIG.
- A member group of the GCIG may appoint 6 representatives to
attend GCIG meetings;
- 3 principal representatives
- 1 statistician
- 1 data manager
- 1 representative for translational research
- A member group shall pay dues to the GCIG on a yearly basis.
The yearly dues will be decided upon by the Executive Board.
- A potential new member group should express their
interest to join the GCIG by writing to the Secretariat. The group may send one representative to GCIG General meetings as an observer for one year. Thereafter they need to apply for full Membership.
4. Executive Board and General Assembly:
- The GCIG is lead by an Executive Board consisting of the GCIG
Chairpersons (chair elect, chair, past chair), Secretariat manager and a representative of each member group.
- The Executive Board has the power to make decisions concerning
all business matters.
- Each member group will have one vote on the Executive Board.
- Changes to GCIG statutes require a 2/3rd majority vote and can
only be made after circulating in writing to all members at least 3
months before the next scheduled Executive Board meeting.
- In the absence of a member at an Executive Board meeting, the
respective member group may appoint a substitute.
5. GCIG Chairperson and Secretariat:
- Criteria of Chairperson and Secretariat manager:
- Commitment to GCIG including
- Intergroup studies activity
- Attendance and participation in GCIG meetings
- Active participation (e.g. working groups)
- Election of Chair and Secretariat manager:
- The terms of the Chairperson and Secretariat manager should overlap but not be concurrent.
- The Chair will rotate among member Groups.
- The term of the Chair will be five years; one year as Chair Elect, two years as Chair and two years as Past Chair.
- The term of the Secretariat manager will be four years with the opportunity for one reappointment.
- The new Chairperson and Secretariat manager will be appointed by the majority vote of the Members at the Executive Board Meeting preceding the commencement of new term of office.
- Nominations for Chairperson and Secretariat manager will be presented to all members before being appointed.

- Act as official spokesperson of GCIG
- GCIG Secretariat manager:
- Organize meetings of GCIG
- Organize website content with webmaster and Chairperson
- Maintain records of GCIG active trials
- Maintain bibliography of GCIG trials and activities
- Maintain the Membership directory
- Collect annual dues
- Reimburse approved invoiced expenses
- Maintain financial accounts
- Report on accounts to Executive Board
6. General Meetings:
- General meetings will take place twice annually or at any other
time determined upon by the Executive Board.
7. GCIG trials and activities:
- Definition of GCIG trials
- GCIG trials are those gynaecologic cancer trials involving any two or more GCIG member Groups
- GCIG logo
- The GCIG logo will be inserted on the front page of GCIG protocols.
- The GCIG logo may not be used in publications of non GCIG trials or activities without the permission of the GCIG Executive Board.
- GCIG trials
- One of the collaborating groups in a GCIG trial will be appointed as leading group (determined by the collaborating groups)
- The leading group of a GCIG trial will provide the secretariat with information concerning title, status, participating groups, contact information.
- A list of GCIG active trials will be published on the GCIG website.
- GCIG bibliography
- A list of published GCIG trials or other published GCIG activities will be published on the GCIG website.
- Other GCIG activities
- Publications resulting from GCIG activity (e.g Working Groups) will be published "on behalf of GCIG". Members of the working groups or Special Projects team will be co-authors unless otherwise decided upon by the group.
- Authorship will be agreed upon prior to trial commencement.
- Only when manuscripts have been approved by the Working Group members, and reviewed by the GCIG Chair can they be submitted for publication.
